Privacy Policy

1. Overview

Logibot Navigator (“Logibot”, “the App”, “we”, “us”, or “our”) is a mobile application designed for driver and shipment management. The App allows drivers to accept and manage loads, navigate to pickup and delivery locations, capture and process freight documents, and track payments.

This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and your rights regarding that data. By using Logibot Navigator, you agree to the practices described in this policy.

Logibot Navigator is operated by Logibot (“the Company”). Our backend services are hosted at driver.logibot.ca.

2. Data we collect

We collect the following categories of data in order to provide our freight delivery management service:

3. How we use your data

We use the data we collect for the following purposes:

  • Providing the delivery service: Managing load assignments, tracking deliveries in real-time, processing freight documents, and confirming pickups and deliveries.
  • Payments: Processing driver payments for completed freight deliveries through our payment processor, Stripe.
  • Communication: Sending push notifications about new load assignments, delivery status changes, and important operational alerts.
  • Document processing: When you choose to use our AI-powered document scanning feature, extracting text and data from photos of freight documents (see Section 4 for full details).
  • App improvement: Analysing usage patterns and error reports to fix bugs, improve performance, and develop new features.
  • Safety and compliance: Maintaining delivery records as required by freight industry regulations.

4. AI-powered document processing

Important: This section explains how we use artificial intelligence to process your freight documents. You will always be asked for your explicit consent before this feature is used, and you can choose manual data entry instead.

Logibot Navigator includes an optional feature that uses AI to automatically extract text from photos of freight documents such as Bills of Lading (BOL) and Proof of Delivery (POD).

How it works

  1. You take a photo of a freight document using the App’s camera.
  2. The photo is sent through our secure processing pipeline to Anthropic’s Claude Vision API, a third-party AI service.
  3. The AI reads the text in the image and extracts structured data (shipper information, consignee details, freight descriptions, weights, and item counts).
  4. The extracted data is returned to the App for your review and confirmation.

Your choices

  • You will see a consent prompt the first time you use the document scanning feature, explaining how it works.
  • You can decline AI processing and manually enter document data instead.
  • You can change your preference at any time in the App’s settings.

Data handling by the AI provider

Document images sent to Anthropic’s Claude Vision API are processed in real-time for text extraction. According to Anthropic’s data usage policy, images submitted through their API are not used to train their AI models and are not retained after processing is complete. 5. Third-party services

Logibot Navigator uses the following third-party services that may process your data:

Each of these services has its own privacy policy governing how they handle your data. We encourage you to review their policies.

6. When we share your data

We share your personal data only in the following circumstances:

  • With dispatchers and freight companies: Your location, delivery status, and document data are shared with the dispatchers and freight companies you are performing deliveries for. This is essential to the delivery service.
  • With third-party service providers: As described in Section 5, with service providers who help us operate the App (payment processing, AI document parsing, notifications).
  • When required by law: If we are compelled by law, regulation, or legal process to disclose your data.
  • For safety: If we believe disclosure is necessary to protect the safety of you, our users, or the public.

We do not sell your personal data to third parties. We do not share your data with advertising networks or data brokers.

7. Data retention and deletion

How long we keep your data

  • Account information: Retained for as long as your account is active, plus 30 days after deletion to allow for account recovery.
  • Delivery records: Retained for 7 years to comply with freight industry record-keeping requirements.
  • Document images: Retained for 90 days after delivery completion, then automatically deleted.
  • Location data: Real-time location data is not permanently stored. Route history for completed deliveries is retained for 90 days.
  • Payment records: Transaction records are retained for 7 years for tax and accounting compliance.
  • Usage and device data: Retained for 12 months, then anonymised or deleted.

Deleting your account

You can delete your account at any time from the Account tab in the App. When you delete your account:

  • Your profile information, preferences, and active session data are deleted immediately.
  • Your account becomes inaccessible within 24 hours.
  • Data subject to legal retention requirements (delivery records, payment records) will be retained for the required period in anonymised form, then permanently deleted.
  • Document images will be deleted within 30 days.

8. Your rights and choices

You have the following rights regarding your personal data:

  • Access: You can request a copy of the personal data we hold about you.
  • Correction: You can update your account information directly in the App, or request corrections by contacting us.
  • Deletion: You can delete your account and request deletion of your data as described in Section 7.
  • Withdraw consent: You can withdraw consent for AI document processing at any time in the App’s settings. You can also revoke device permissions (location, camera) through your phone’s system settings.
  • Data portability: You can request an export of your data in a standard format.
  • Opt out of non-essential data collection: You can disable usage analytics in the App’s settings.

Canadian privacy rights (PIPEDA)

If you are located in Canada, you have additional rights under the Personal Information Protection and Electronic Documents Act (PIPEDA), including the right to access, correct, and challenge our handling of your personal information. You may file a complaint with the Office of the Privacy Commissioner of Canada if you believe your rights have been violated.

9. Device permissions

Logibot Navigator requests the following device permissions. Each is necessary for specific app functionality:

You can change any of these permissions at any time in your device’s system settings.

10. Security

We take reasonable measures to protect your personal data, including:

  • All data in transit between the App and our servers is encrypted using TLS/HTTPS.
  • Sensitive data at rest is encrypted on our servers.
  • Access to personal data is restricted to authorised personnel only.
  • Payment processing is handled by Stripe, which is PCI-DSS compliant. We never store full credit card numbers on our servers.

While we strive to protect your data, no method of electronic transmission or storage is 100% secure. If you become aware of any security incident, please contact us immediately.

11. Children’s privacy

Logibot Navigator is a professional freight logistics tool intended for use by adults. We do not knowingly collect personal data from anyone under the age of 18. If we learn that we have inadvertently collected data from a minor, we will delete it promptly.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make changes, we will update the “Effective” date at the top of this page and notify you through the App. If we make material changes to how we handle your personal data, we will provide prominent notice before the changes take effect.

We encourage you to review this policy periodically.
